GuideHow to organize your ChatGPT conversations
After a few months, most ChatGPT histories turn into a long, unsearchable scroll. Here's how to tidy it up with ChatGPT's own tools, and what to do when a chat becomes real work you need to follow up on.
Quick version: rename chats as you go, group related chats into projects, archive what's finished, and use search to find the rest. When a chat turns into a task with follow-ups and deadlines, move it into a workspace like Workbranch where it can be filed, flagged and tracked.
1. Give every important chat a clear name
Auto-generated titles are vague. Renaming a chat takes two seconds and makes it findable months later. A simple pattern works well:
- Project or client first: "Atlas – MongoDB cost review"
- Then the outcome: "Launch email – subject lines"
- Add a date for recurring work: "Weekly report – 6 Oct"
2. Group related chats into projects
ChatGPT's projects let you collect related chats in one place. Create one per client, product or area of your life (work, study, personal), and move chats into it as you go. Projects are the closest thing ChatGPT has to folders.
3. Archive what's finished, delete what's noise
Every chat in your sidebar competes for attention. Archive conversations you might need again and delete one-off questions you'll never revisit. A shorter list makes the important chats stand out.
4. Search instead of scrolling
ChatGPT can search your chat history. Search for a distinctive word you remember, such as a product name, a person or an error message. This is where good chat names pay off.
5. Keep one topic per chat
Long chats that drift between topics are hard to search and hard to reuse. Start a new chat when the subject changes, and keep each conversation focused on one outcome.
Tip: if you keep asking ChatGPT the same kind of question, save your best prompt somewhere you can reuse it. Consistent prompts produce answers that are easier to compare and organize.
When organizing isn't enough: turning chats into work
Naming and projects keep your history tidy. They don't help with what usually matters most: acting on the answers. A good AI answer is often a list of five to ten recommendations. To get them done you need to:
- know which points you've already handled;
- ask follow-ups about one point without burying the rest;
- remember to come back on the right day.
That's what Workbranch is for. It organizes AI conversations the way email organizes messages.
How to organize a ChatGPT conversation in Workbranch
- Share the chat in ChatGPT. Use the share button at the top right of the conversation and copy the link. Our sharing guide covers the details and privacy tips.
- Paste the link into Workbranch. The conversation is imported into your workspace.
- File it. Put it in a project and a folder, like Sales, Dev or Support.
- Highlight what matters. Mark the key lines in one of five colors.
- Flag a due date. Choose today, tomorrow, this week or a specific date, and it appears on your calendar.
- Work through it point by point. Tick off each recommendation, and open a thread on any point that needs a follow-up question.
You can also try it right on the Workbranch home page: the interactive demo shows projects, folders, highlights, threads and due dates in action.
Frequently asked questions
Can you put ChatGPT chats into folders?
ChatGPT's projects are the closest thing to folders: you can group related chats into a project. If you want true folders, due dates and per-point follow-ups, you can import a chat into Workbranch with a share link.
How do I find an old ChatGPT conversation?
Use the search in ChatGPT's sidebar and search for a distinctive word you remember. Renaming chats when you create them makes this much easier later.
Should I archive or delete old chats?
Archive chats you might need again and delete the ones you won't. Fewer visible chats make the important ones easier to find.
How do I keep track of what ChatGPT told me to do?
Turn the answer into a checklist. In Workbranch, each point of an answer can be ticked off, highlighted or followed up in its own thread, and the whole chat can get a due date.
