GuideHow to plan your week with AI
Asking an AI "help me plan my week" gets you a tidy list that ignores your real calendar. Here's a prompt you can reuse every Monday, a way to turn the plan into dated tasks, and a short review that makes next week's plan better.
Quick answer: every week, give ChatGPT, Claude or Gemini three things: your fixed appointments, everything on your plate, and how many hours you really have. Ask for three priorities and a day-by-day plan with dates and buffer time. Then turn the plan into dated tasks or reminders, and on Friday paste the plan back with what actually happened so next week's plan is more realistic.
Product features below were checked on OpenAI's and Google's help pages as of October 2026.
Step 1: Gather your inputs (5 minutes)
The AI can only plan around what you tell it. Before you open a chat, write down:
- The dates of the week you're planning, so "Thursday" becomes a real date.
- Fixed commitments: meetings, calls, school runs, travel, with times.
- Everything on your plate: work tasks, deadlines, errands, follow-ups. Don't sort it yet.
- Your real capacity: how many focused hours you have each day, and when you work best.
- Last week's leftovers, if you did a review (step 4).
Step 2: Run the weekly planning prompt
Save this prompt somewhere you can reuse it, and fill in the brackets each week:
"Help me plan the week of [Monday's date] to [Friday's date]. Fixed commitments: [list with days and times]. Everything I need to do: [list, with any deadlines]. I have about [hours] of focused time a day, best in the [morning/afternoon]. Please: 1) pick my 3 most important outcomes for the week and explain why in one line each; 2) give me a day-by-day plan with dates, fitting tasks around my fixed commitments; 3) estimate how long each task takes and keep at least 20% of each day free; 4) list what you'd postpone or drop, and why. Ask me questions first if anything is unclear. Don't add tasks I didn't mention."
What each part does:
- Three outcomes force a choice. A plan where everything is a priority won't help on a busy Wednesday.
- Time estimates and free time make the AI notice when the week is overbooked.
- "What to postpone" is often the most useful part: it tells you what to say no to.
- "Ask questions first" catches missing deadlines before they wreck the plan.
Read the plan critically. If Tuesday holds six hours of work next to four hours of meetings, say so and ask it to rebalance. Your judgment about your own week beats the AI's.
Step 3: Turn the plan into dated tasks
A plan in a chat is easy to forget. Ask the AI to reformat it first:
"Turn this plan into a list of tasks, one per line, in the format: date (YYYY-MM-DD), time if fixed, task starting with a verb."
Then put the tasks where they'll remind you:
- Gemini and Google Tasks: at gemini.google.com, signed in with the account you use for Google Workspace, ask Gemini to add the tasks and include @Google Tasks in your prompt. Give clear dates and times, for example "remind me on [date] at [time] to [task]". Keep Activity must be on, and Gemini offers to connect Google Workspace if it isn't yet. To reverse one, select Undo in the confirmation.
- ChatGPT scheduled tasks: ask ChatGPT to remind you, such as "Remind me Thursday at 9 a.m. to send the proposal." You'll find it under Scheduled, and you can choose push or email notifications in Settings → Notifications.
- Your own calendar or to-do app: copy the formatted list in. This works with any AI, including Claude.
Because active task slots are limited (see below), use AI reminders for the few deadlines that matter, not every small task.
Step 4: Review on Friday (5 minutes)
The review is what makes the routine get better each week. Open the same chat and send:
"Here's what actually happened this week: [done, not done, what came up]. Compare it with the plan. Tell me which estimates were wrong, what kept getting pushed, and what to carry into next week. Then suggest one change to how I plan."
Copy the carry-over list into next Monday's prompt. After a few weeks, your capacity number and estimates get honest, and the plans start to hold.
You can also make the reminder to plan automatic: ask ChatGPT for a recurring task every Monday morning that says "time to plan the week", or ask Gemini for a weekly schedule. Gemini schedules are listed under Scheduled in the sidebar, where you can pause, edit or delete them.
Good to know
- ChatGPT active task limits: 3 on Free and Go, 5 on Plus, 10 on Business and Edu, 15 on Pro and Enterprise. Free tasks run at most once a day in a flexible window such as "morning"; exact times need a paid plan. A task created inside a project can't read that project's files. Tasks use your plan's usage even when they don't post an update.
- Gemini schedules: up to 10 active at a time, Keep Activity must be on, and access is still rolling out. A schedule can switch itself off after a period of inactivity.
- Privacy: a plan can reveal a lot about your work and family. Leave out details you wouldn't put in a work email, and don't put sensitive personal information in a shared ChatGPT task, since anyone with the link can read its instructions.
If it doesn't work
- The plan is unrealistic. Lower your hours per day in the prompt and ask the AI to cut tasks rather than squeeze them.
- Dates are wrong. Put the actual dates of the week at the top of the prompt.
- Gemini won't add to Google Tasks. Turn Keep Activity on and connect Google Workspace. It doesn't work in Gemini in Google Messages.
- ChatGPT won't create a reminder. You may be at your active task limit: pause or delete one under Scheduled. Tasks also aren't supported in voice chats, GPTs or locked chats.

Keep the week in one place
In Workbranch, answers come from Google Gemini, and a plan's points become a checklist with progress you can tick off during the week. Flag the planning chat with a due date to see it on the calendar with reminders, and keep each week's chat in one project so Friday's review is easy to find. There's a 3-day free trial.

Frequently asked questions
Can the AI see my calendar?
Only if you connect it. Gemini can work with Google Workspace apps once they're connected and Keep Activity is on; otherwise paste your week's fixed appointments into the prompt. Pasting works in any tool and keeps you in control of what you share.
How long should weekly planning take?
Aim for about 15 minutes: five to gather your list and calendar, five for the AI and your edits, five to put the tasks where they'll remind you. If it takes longer, your input list is probably too long, so cut it before you start.
Should I plan every day in detail?
Plan the few things that must happen and leave room. A plan packed to the hour breaks on Tuesday; one with three priorities and buffer time usually survives the week.
