GuideHow to turn meeting notes into action items with AI
Most meetings end with a page of notes and a vague sense that people agreed to do things. Here's a prompt that makes ChatGPT, Claude or Gemini pull out who promised what by when, how to settle owners and dates, and a routine that gets the items done.
Quick answer: give ChatGPT, Claude or Gemini your notes or transcript along with the meeting date and the attendee list, and ask for a table of actions with an owner, a due date and the line each one came from. Tell it to write "UNASSIGNED" or "NO DATE" instead of guessing. Check the table, settle the gaps in a recap message the same day, then open the next meeting by reviewing the list.
Product details below were checked against OpenAI's, Anthropic's and Google's help pages as of October 2026.
Step 1: Get the notes into one place
The AI can only find commitments that made it into the text. Start with whichever of these you have:
- Your own notes. Fine, as long as they record who agreed to what. Add the meeting date and a list of attendees at the top.
- A transcript from your meeting tool. It's the most reliable input, because nothing depends on what you remembered to write down.
- Google Meet's "Take notes for me". With an eligible Google Workspace edition or Google AI plan, click the Take notes for me icon at the top right of the call, then Start taking notes. Gemini writes a Google Doc that lands in the organizer's Drive, in a Google Meet folder, and is attached to the Calendar event. The notes document includes action items, which the prompt below can check and tighten.
- ChatGPT record mode. In the ChatGPT app for macOS on Plus, Pro, Business, Enterprise and Edu (on Enterprise and Edu, a workspace owner has to switch it on first), click Record at the bottom of a chat; when you're done, stop the recording and select Send. ChatGPT produces a transcript and notes, labels people it can't identify as "Speaker 1" and so on, and lets you rename them.
Recording other people comes with rules. OpenAI tells you to check local laws and get consent first, and Google Meet shows every participant that notes are being taken.
Step 2: Run the extraction prompt
Paste the notes into a new chat or attach the file (Claude, for example, accepts TXT, DOCX and PDF), then send:
"These are notes from [meeting name] on [date]. Attendees: [names and roles]. List every action item as a table with these columns: number, action (start with a verb), owner, due date (YYYY-MM-DD) and the exact sentence from the notes it comes from. Rules: use only names from the attendee list. If nobody clearly took a task, write UNASSIGNED. If no date was said, write NO DATE. Convert relative dates like 'next Friday' using the meeting date. Give each action one owner; split shared tasks. After the table, list the decisions made and the questions left open, separately."
Why each part is there:
- The attendee list stops invented owners and misspelled names.
- The quoted sentence lets you verify each row without rereading everything.
- UNASSIGNED and NO DATE turn guesses into visible gaps. A blank is useful; a confident wrong name is not.
- The meeting date anchors "Thursday" and "end of month" to real dates.
- Separate decisions keep "we launch on the 3rd" from being mistaken for a task.
Step 3: Settle owners and dates
- Check every row against its quote. OpenAI and Google both warn that their assistants can get things wrong, and OpenAI notes that this includes transcripts. Delete rows that were only ideas ("we could…") rather than promises.
- Resolve each UNASSIGNED row. One person per action. If nobody owns it, it either gets an owner in the recap or gets dropped.
- Propose dates for NO DATE rows and let the owner push back. A concrete date is easier to answer than an open question.
- Ask the same chat for the recap: "Write a short recap message: decisions first, then action items grouped by owner with dates, then open questions. Plain text, under 200 words."
- Send it the same day, while people still remember what they agreed to.
Step 4: Set up a follow-up routine
An action list only works if someone looks at it again:
- Put your own items where they'll remind you. In Gemini on the web, with Google Workspace connected and Keep Activity on, you can ask it to remind you of a task at a set date and time, or add @Google Tasks to the prompt, and it creates the task in Google Tasks.
- Schedule a check-in. ChatGPT's Scheduled page and Gemini's Scheduled section both run a prompt for you on a timetable. Claude's paid plans also offer scheduled tasks under Scheduled in the left sidebar. A weekly reminder to review open actions is enough.
- Open the next meeting with the old list. Paste last time's table along with the new notes and ask: "Mark each earlier action as done, in progress or not mentioned. Then add new actions to the same table, using the same rules." You keep one running log instead of separate summaries.
- Chase or drop. Anything marked "not mentioned" twice in a row needs a direct question to its owner, or a decision to let it go.
Good to know
- Limits on scheduled check-ins. ChatGPT allows 3 active tasks on Free and Go, 5 on Plus, 10 on Business and Edu, and 15 on Pro and Enterprise. Free tasks run at most once a day. A task created inside a ChatGPT project can't read that project's files, so put the action list in the task itself. Gemini allows up to 10 active schedules and needs Keep Activity turned on; Google is still rolling schedules out to personal accounts.
- Google Meet notes work best for meetings between 15 minutes and 8 hours, and support English, French, German, Italian, Japanese, Korean, Portuguese and Spanish, one language per meeting. On work or school accounts, it only works if your admin has turned it on.
- ChatGPT record mode caps a session at 4 hours and works best in English.
- Privacy. Meeting notes often hold colleagues' and clients' details. On personal ChatGPT accounts, content can be used to improve models while Improve the model for everyone is on (switch it off in Settings → Data controls); content in Business, Enterprise and Edu workspaces isn't used for training by default. Claude Free, Pro and Max users choose in Privacy Settings whether chats are used for training. Check your company's policy before using a personal account for client material.
If it doesn't work
- The AI assigns tasks to the wrong people. Make sure the attendee list is in the prompt, then reply: "Show the quote that names the owner for each row. Mark the row UNASSIGNED if there isn't one."
- The dates are off by a week. The AI didn't know when the meeting happened. Add the date (and time zone, for global groups) and ask it to recalculate.
- You get twenty trivial items. Add: "Only include commitments where a named person said they would do something."
- Google Meet notes never arrived. They go to the organizer by email and into the organizer's Drive, so check with them. Notes may be missing if the call was shorter than about 15 minutes, the connection dropped, or the organizer's edition doesn't include the feature.

Keep the list next to the answer
In Workbranch, answers come from Google Gemini, and each point of an answer becomes a checklist item with progress shown, so an action list can be ticked off where it was written. You can flag a chat with a due date that appears on the calendar with reminders, and open a side thread on one point without burying the rest. There's a 3-day free trial.

Frequently asked questions
What's the difference between a decision and an action item?
A decision is something the group agreed, such as "we launch on the 3rd". An action item is a single task with one person and a date attached, such as "Dana books the venue by the 20th". Most decisions create one or more action items, which is why the prompt asks for both lists.
Do I need a full transcript, or are rough notes enough?
Rough notes work if they record who agreed to what. A transcript is better because the AI can quote the exact line behind each item, which makes checking quick. Gaps in either show up as unassigned or undated rows, which tells you what to clear up in the recap.
Which AI is best for this?
All three can run the prompt below on pasted notes, so the bigger differences are in capturing the meeting: Google Meet can take notes for you on eligible plans, ChatGPT's record mode works in its Mac app, and Claude accepts uploaded transcripts as TXT, DOCX or PDF files.
